RoofTelli, LLC (“RoofTelli,” “we,” “us,” or “our”) provides software for roofing contractors, including the RoofTelli web application available at rooftelli.com and app.rooftelli.com (the “Service”). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service, you agree to the practices described here.
1. Information We Collect
Information you provide
Account information: name, email address, phone number, company name, and password when you create an account.
Business and job data: information you enter to run your business in the Service, such as customer names and contact details, property addresses, job details, estimates, pricing, and related documents.
Homeowner cancellation-window answer: a few states give a homeowner aged 65 or older longer to cancel a signed contract. Where a homeowner chooses to answer, we record a single yes-or-no answer to “are you 65 or older?” so the correct cancellation deadline is printed on their paperwork. We never ask for or store a date of birth. The answer is optional, can be changed or withdrawn at any time, and is not printed on any document, shared with anyone, or used for pricing, offers, advertising or any other purpose. If it is not answered, we print the longer deadline.
Payment information: when you subscribe, payments are processed by Stripe. We do not store your full card number on our servers.
Communications: messages you send us, including email to [email protected].
Bug reports: a signed-in staff user can choose to send us a bug report from inside the Service. When they do, the report includes their name and email address, the description they write, the page they were on, and — if they choose to attach one — a screenshot of their screen exactly as they see it. Screenshots are not masked: anything visible on the screen at that moment, including customer names, addresses, and phone numbers, is in the picture. Bug reports are sent to Sentry, our error-monitoring provider.
Waitlist signups: if you join the waitlist on our pre-launch site at rooftelli.com, we collect the email address you enter, along with any campaign tags in the link you arrived through and the page you landed on. This is sent to our support inbox as an email rather than stored in a database, and it is also sent to the email service provider we use to send the launch announcement. We use it to confirm your signup and to tell you when RoofTelli launches.
Information collected automatically
Usage and device data: log data such as IP address, browser type, pages viewed, and actions taken in the Service, used for security and to operate and improve the Service.
Error reports and session replays: if something goes wrong in the Service, a report of the error (including the page, the browser, and the version of the Service you were running) is sent to Sentry, our error-monitoring provider, so we can fix it. For signed-in staff users we may also record a replay of the session to help diagnose a problem; in a replay, the text you type and the text shown on screen are masked before it leaves your browser.
Cookies and similar technologies: we use cookies to keep you signed in and to remember preferences. The Service does not currently use third-party advertising cookies.
Information from third-party services
Property and measurement data: when a roof measurement is ordered, property addresses are sent to our measurement provider (such as EagleView) and measurement reports are returned to your account.
Address autocomplete: address fields may use Google services to suggest and validate addresses.
Aerial imagery for roof tracing: when a staff user traces a roof on aerial imagery, the map tiles covering the property are fetched from the USGS National Map (public-domain imagery from the National Agriculture Imagery Program). The request identifies the area being viewed — the map coordinates of the customer’s property — and nothing else; no name or address is sent with it. We cache the tiles on our servers so repeat views do not go back to USGS. When a staff user asks for a suggested roof pitch, the elevation data covering the property (public-domain 3D Elevation Program lidar) is fetched the same way: the index that says whether data exists is a USGS service, and the point clouds themselves are served from a public Amazon Web Services bucket (the USGS entry in the AWS Open Data registry). Either request names the area being measured and nothing else.
Building outlines for roof tracing (Overture Maps): when a staff user traces a roof, the app may suggest the building outline under the confirmed map pin from Overture Maps’ open building footprints, which come largely from OpenStreetMap and are published under the Open Database License. Those outlines are copied onto our servers in bulk ahead of time, county by county, so no information about you, your customer or the property is ever sent to Overture Maps; the outline is only a suggestion the staff user confirms or redraws.
Job photos (Cloudflare R2): photos a contractor's staff take of a roof, before, during or after the work, are stored in a Cloudflare R2 bucket in the contractor's own storage area, never made public, and shown only to that contractor's staff and — when the contractor chooses — on the proposal sent to the customer. The camera is used only when a staff member taps "Add photo"; nothing is uploaded automatically, and the app keeps no location data from the photo. A contractor can delete a photo at any time.
Accounting integrations: if you choose to connect an accounting service (such as QuickBooks), we exchange the data needed to provide that integration, under that provider’s terms and your authorization.
2. How We Use Information
To provide, maintain, and improve the Service;
To create and manage your account and process subscription payments;
To order and deliver roof measurement reports you request;
To send transactional communications such as account notices, estimate and job notifications, receipts, and security alerts;
To send text messages you have opted in to receive (see Section 4);
To respond to support requests;
To protect the security and integrity of the Service and comply with legal obligations.
3. How We Share Information
We do not sell your personal information. We share information only with service providers who help us operate the Service, and only as needed to provide it:
Stripe — payment processing;
EagleView — roof measurement reports (property addresses and related job information);
Resend — transactional email delivery;
Twilio — text message delivery;
Railway — application hosting (United States);
Sentry — error and crash reports, session replays (with typed and on-screen text masked), and bug reports that staff users choose to submit, including the reporter’s name and email and any screenshot they attach, which is not masked;
Cloudflare — networking, DNS, and security;
Google — address autocomplete services;
USGS — public aerial imagery tiles and elevation data for the roof-tracing tool (the map coordinates of the property being traced);
Amazon Web Services — the public bucket that serves USGS elevation data (the data tile covering the property being measured);
Intuit (QuickBooks) — only if you connect your accounting integration.
These providers are authorized to use your information only to perform services for us. We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets (in which case this policy will continue to apply to your information until amended).
4. Text Messaging (SMS) Program
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service and message delivery, is permitted. All other use-case categories exclude text-messaging originator opt-in data and consent; this information will not be shared with, or sold to, any third parties or lead generators.
If you are a homeowner who has requested a roofing estimate from a contractor using RoofTelli, you may opt in to receive text messages about your estimate — for example, a link to confirm your details or to view your completed estimate. If you are a RoofTelli account holder, we may also send service-related texts you request. For all recipients:
Message frequency varies based on your account activity;
Message and data rates may apply;
You can opt out at any time by replying STOP to any message;
Consent to receive text messages is not a condition of purchasing any goods or services.
5. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account and associated personal information by contacting [email protected]; some records may be retained where required by law (for example, billing records).
6. Security
We use industry-standard safeguards to protect your information, including encryption in transit (TLS), encrypted credential storage, and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Choices and Rights
Access, correction, and deletion: you can update most account information in the Service, or contact us at [email protected] to request access to, correction of, or deletion of your personal information.
Email: transactional emails are part of the Service; any marketing email we send will include an unsubscribe link.
Text messages: reply STOP to opt out at any time.
Cookies: you can control cookies through your browser settings; disabling them may limit Service functionality.
Depending on where you live, you may have additional rights under applicable law (such as the Texas Data Privacy and Security Act or other state privacy laws). To exercise any privacy right, contact us at [email protected]. We will not discriminate against you for exercising your rights.
8. Children’s Privacy
The Service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and notify account holders by email or through the Service. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
